1. About FlowAssure

FlowAssure is a product from FlowForma. FlowAssure ("FlowAssure", "we", "us", or "our") provides an AI-assisted vendor risk assessment and third-party risk management platform designed to help organisations evaluate suppliers, vendors, and third parties against security, compliance, operational, and business risk criteria.

The Free Trial allows prospective customers to evaluate the functionality of the FlowAssure platform for internal business purposes.

2. AI-Assisted Risk Assessments

FlowAssure uses artificial intelligence technologies, including Microsoft's Azure OpenAI Service, to assist with the analysis, summarisation, and evaluation of vendor risk information.

Risk assessments, recommendations, summaries, and other outputs generated by the platform are intended to support decision-making only and do not constitute professional, legal, regulatory, cybersecurity, compliance, financial, or risk-management advice.

You acknowledge that:

  • AI-generated outputs may contain inaccuracies, omissions, or outdated information
  • FlowAssure does not guarantee the accuracy, completeness, or suitability of any assessment or recommendation
  • You remain solely responsible for conducting appropriate due diligence and making all vendor onboarding, procurement, risk acceptance, and compliance decisions

3. Data Processing and Hosting

FlowAssure processes information submitted by users for the purpose of generating vendor risk assessments and related analysis. FlowAssure utilises Microsoft Azure OpenAI services as part of its platform functionality.

Customer data is hosted and processed within the European Union (EU). Data submitted through FlowAssure is not used to train OpenAI or Microsoft foundation models.

FlowAssure implements reasonable technical and organisational security measures designed to protect customer data from unauthorised access, disclosure, alteration, or destruction.

4. Customer Responsibilities

You represent and warrant that you have all necessary rights, permissions, and lawful bases to submit information relating to vendors, suppliers, contractors, and third parties to FlowAssure.

You agree not to upload:

  • Classified information
  • Special category personal data unless strictly necessary and legally permitted
  • Information subject to export control restrictions
  • Data that you are not authorised to disclose

You remain responsible for ensuring compliance with applicable data protection, confidentiality, procurement, and regulatory obligations.

5. Disclaimer of Warranties

The Free Trial is provided solely for evaluation purposes.

FlowAssure does not warrant that:

  • Vendor risk assessments will identify all risks
  • The platform will detect all security, compliance, operational, financial, or legal issues relating to any vendor
  • Recommendations generated by the platform are suitable for any particular business purpose

No assessment generated by FlowAssure should be relied upon as the sole basis for vendor approval, vendor rejection, contract decisions, or regulatory compliance activities.

6. Limitation of Liability

To the maximum extent permitted by law, FlowAssure shall not be liable for any loss, claim, or damage arising from:

  • Reliance on any vendor risk assessment or recommendation
  • Vendor onboarding or procurement decisions
  • Third-party acts, omissions, security incidents, or failures
  • Regulatory or compliance actions resulting from customer decisions

FlowAssure's aggregate liability arising out of or relating to the Free Trial shall not exceed €100.

7. Data Retention

Unless otherwise agreed, FlowAssure may delete all customer data, vendor information, assessments, uploaded documents, and generated outputs within thirty (30) days after expiry or termination of the Free Trial.

Customers are responsible for exporting any reports or information they wish to retain before the end of the trial period.
