It takes the burden off the IT department, allowing them to provide governance while business managers create and test processes in a controlled environment. This self-service model helps scale automation across the organization.
How quickly can we automate our first process?
Organizations can automate processes in a matter of days or weeks, not months. As part of the onboarding service, FlowForma's team works with you to build out your first process, ensuring you see value quickly.
Where is our business data stored when we use FlowForma Process Automation?
FlowForma Process Automation is built on Microsoft 365 and SharePoint Online, so the documents and files generated by your processes are stored in SharePoint Online and protected by your existing security policies. This is a key reason why FlowForma Process Automation is trusted by clients in highly regulated industries like finance and healthcare.
Can FlowForma Process Automation handle our most complex business processes?
Yes, FlowForma Process Automation is specifically designed to handle complex, multi-step processes that other tools struggle with. It easily manages workflows that involve external stakeholders, require moving backward and forward for approvals, and integrate with multiple other systems. Many customers choose FlowForma Process Automation because of its ability to automate these challenging, real-world scenarios.

What defines a process in FlowForma Process Automation?
In FlowForma Process Automation, a process is defined by the complete end-to-end process required to achieve a specific business outcome. It brings together people, data, decisions, and approvals into a single, structured workflow that can be easily executed, tracked, and optimized.
A process is defined by several key elements:
- Stages and steps that represent each phase of the process from initiation to completion
- Forms and data capture to collect the right information at the right time
- Roles and responsibilities to ensure tasks are assigned to the correct users or groups
- Rules, conditions, and logic to drive decisions, branching paths, and escalations
- Approvals and governance to maintain control, compliance, and auditability
- Notifications and integrations to keep stakeholders informed and systems connected
Example: For a Purchase Request process, FlowForma Process Automation defines how a request is submitted, what information is required, when approvals are triggered based on value or department, and how the request progresses through finance and procurement before completion. Every step is visible and auditable, ensuring consistency and accountability.
What are FlowForma's onboarding services?
FlowForma provides onboarding services with every plan. The goal is to accelerate your time-to-value, getting you up and running with digital processes quickly (first processes live in a few weeks), and to ensure you can use the platform independently.
Is there a limit to the volume of documents created via FlowForma Document Generation?
No. The document generation feature allows you to create unlimited Word and PDF documents from your process data.
What are advisory services and how do they work?
Advisory Services is a premium add-on that gives you direct access to FlowForma experts for ongoing enablement, best-practice guidance, and support.
What support and maintenance services come with FlowForma Process Automation?
FlowForma includes core product support with the standard license.
- This means you receive regular feature updates, bug fixes, and general technical support under a defined SLA.
- For more advanced needs, for example bespoke configuration, custom development or environment support, FlowForma offers Premium Support or Consultancy Days as paid, additional services.
AI agents
How FlowForma Process Automation's AI agents read documents, extract data, summarize processes, and support decisions inside a workflow.
What can FlowForma Process Automation's AI do?
FlowForma Process Automation's AI Copilot creates high-level processes in seconds from a diagram, text description, or documentation, which you refine with simple prompts. AI Agents then speed up execution by handling tasks such as approvals, data validation, and document generation, while the Ambient Process Discovery Agent turns meeting conversations into ready-to-use workflows.
What are “AI Agent Rules” and how do they work in a workflow?
AI Agent Rules are AI steps you place inside a FlowForma Process Automation workflow to carry out an instruction. You give the agent a plain-English instruction, such as “read this invoice and extract the supplier name and total amount,” and it performs that action. Agents can read documents, extract structured data, validate content, and return the results to a form or another system.
How can AI automate our document-heavy processes, like insurance claims or contract reviews?
AI agents are perfect for processes that rely on reading documents, as they can automatically read uploaded PDFs or Word documents, extract key information like premiums, coverage details, or contract clauses, and populate that data directly into your workflow forms. This eliminates hours of manual data entry and reduces the risk of human error. For example, AI can compile a quote comparison report by reading quotes from three different insurers automatically.
What is the AI Summarization feature?
The AI Summarization Agent can be triggered at any stage in a workflow to provide a real-time, natural language summary of the process so far. This summary highlights key decisions made, identifies any blockers or unusual activity, and includes relevant comments or data. It's an excellent tool for improving auditing and giving stakeholders a quick, easy-to-digest update on a process's status.
How do “Smart Assistants” help different types of users?
Smart Assistants provide AI-powered help for both the people building processes and the people using them. For builders, the assistant offers guided setup and auto-suggestions to streamline configuration. For process users, it allows them to use natural language to start a workflow (e.g., “I want to make an insurance claim”) and provides AI-led assistance with form filling, requiring zero training to engage with complex processes.
When we use FlowForma Process Automation's AI, is our sensitive business data used for training AI models?
No, your data is not used for training. FlowForma Process Automation's built-in AI uses Microsoft's Azure OpenAI Service: each AI request is a one-time transaction, and the AI does not store or learn from information about your organization. If you bring your own AI configuration, the terms of your own AI provider apply.
Can AI help us identify inefficiencies and improve our workflows?
Yes, the AI within FlowForma Insights is designed to analyze your process data to automatically highlight delays, inefficiencies, and bottlenecks. It can analyze usage patterns and suggest process improvements, turning raw data into actionable intelligence. This allows you to make smarter, data-driven decisions to continuously optimize your operations.
Can an AI agent make decisions within a workflow, like approving or denying a claim?
Yes, you can configure an AI agent to make recommendations or decisions based on predefined criteria. For an insurance claim, you could instruct the agent: “You are an insurance claims evaluator. Return 'Approved' or 'Denied' based on the following eligibility criteria.” While a human will always be needed for final oversight, this can dramatically speed up the initial evaluation and filtering of requests.
FlowForma Copilot
Build processes from a plain-English description, a form, a diagram, or a photo of a whiteboard.
What is FlowForma Copilot?
FlowForma Copilot is an AI process builder inside FlowForma Process Automation. You describe a process in plain English and Copilot generates a first-draft workflow in the FlowForma Process Automation designer, which you then refine. It works without coding or technical skills.
How exactly do I tell Copilot what process to build?
You can interact with Copilot in several ways. You can simply type a description of your process (e.g., “Build me a three-step approval process for purchase requests”), upload an existing paper-based form or a process diagram, or even take a photo of a whiteboard session and feed it to Copilot. It will then interpret your input and build the corresponding process structure.
After Copilot builds the initial process, can I make changes?
Yes, the process Copilot creates is just a starting point that you can easily refine. You can continue to use natural language to prompt changes, such as “add a fourth step for CEO approval” or “change the priority question to severity.” You can also switch to the traditional drag-and-drop designer to make more detailed adjustments to the questions and business logic.
Do I need to be an expert on the process I'm trying to build?
Not necessarily. Copilot is designed to help even if you aren't a subject matter expert, as it draws on a wealth of industry best practices to guide you. If you need to build an offboarding process for HR but don't know all the steps, you can ask Copilot to build one for a third-level education institute, and it will give you a solid, standards-based template to start from.
What types of documents or diagrams can Copilot understand?
Copilot can interpret a variety of inputs to understand your process. This includes paper-based forms, PDF documents, flowchart diagrams, swim lane diagrams, and even photos of a whiteboard where you've sketched out a process. This flexibility allows you to start from whatever existing process documentation you have.
How does Copilot help bridge the gap between business and IT teams?
Copilot is a tool that both business and tech teams can use together to quickly map out and visualize a process. A business user can describe what they need in plain English, see it built instantly, and give real-time feedback to a technical resource. This collaborative approach ensures everyone is on the same page and dramatically speeds up the requirements-gathering phase.
Is Copilot's main purpose to build a complete, ready-to-use process?
Copilot's main purpose is to fast-track the initial creation of the process structure and its high-level components. While it builds a very functional starting point, you will likely want to use the flow designer to fine-tune the details, such as configuring specific business rules, setting up integrations, or branding the forms. It gives you a working starting point in seconds.
Process Discovery Agent
Turn meeting conversations into ready-to-use workflows, automatically.
What is the FlowForma Ambient Process Discovery Agent?
The FlowForma Ambient Process Discovery Agent turns spoken conversations from meetings into draft workflows. It listens during a discussion, captures the steps and decisions described, and produces a structured process in the FlowForma Process Automation designer for review.
How does the “meeting to workflow” feature work?
You can have a normal conversation during a team meeting to map out a process, and the agent listens in the background without disrupting your flow. It captures all the steps, decisions, and details discussed during the conversation. Within minutes of the meeting ending, it provides a structured, ready-to-review process in the FlowForma Process Automation designer.
What is the primary benefit of using this agent?
The main benefit is a massive time saving for both business and IT teams. It allows you to skip lengthy, formal process mapping workshops and the tedious task of creating manual documentation. This accelerates the move from idea to automation significantly.
How accurate is the process capture from a conversation?
The agent is designed to capture every detail discussed, ensuring that no steps, ideas, or requirements are missed or forgotten. By capturing the process as it's being naturally discussed, it often results in a more complete and accurate representation of how the work is actually done.
What is the final output from the Discovery Agent?
The output is a ready-to-use workflow structure within the FlowForma Process Automation platform. You can then open this workflow in the flow designer to make any final tweaks, add specific business logic, or configure integrations before making it live. It essentially automates the entire process documentation and initial build phase.
Who would find the Discovery Agent most useful?
This tool is incredibly useful for business analysts, operations leaders, and IT teams who are responsible for documenting and automating processes. It helps anyone who has ever sat through long workshops trying to get stakeholders to agree on a process map. It makes the process of discovery and documentation collaborative and effortless.
Does this replace the need for process experts?
No, it empowers them. The agent captures the expertise shared by process experts during a conversation, turning their knowledge directly into a functional workflow without the need for a separate documentation step. It makes the transfer of knowledge from the expert to the automation platform seamless and immediate.
Workflow automation
Standardize simple or complex, multi-step processes with approvals, escalations, and full visibility.
What is FlowForma Process Automation's workflow automation?
FlowForma Process Automation workflow automation routes work between people and systems without code. FlowForma Process Automation handles approvals, notifications, delegation, escalation, and audit trails, and supports multi-step processes that move backward for revisions or forward for approvals.
How does FlowForma Process Automation handle approvals and escalations in a workflow?
FlowForma Process Automation automates tasks such as approvals, routing documents to the right people, and sending notifications to keep work moving. If a task is overdue and at risk of breaching its service level agreement (SLA), the workflow can send automated reminders or escalate the task to a supervisor to ensure accountability. This removes the need for manual follow-ups and emails.
Can a workflow involve people from different departments or faculties?
Yes, FlowForma Process Automation is designed to manage cross-departmental tasks and eliminate bottlenecks between teams. You can create a core “master” process and then deploy slightly different versions to various faculties, allowing for tailored adjustments while maintaining a standardized university-wide workflow. This approach empowers individual departments while ensuring central governance.
How do we track the status of our active workflows?
FlowForma Process Automation provides complete visibility through real-time dashboards that show where every process is, who is responsible for the next step, and if it is on schedule. These dashboards allow managers to see the volume of work at each stage of a process and identify bottlenecks before they cause major delays. This eliminates the “finger-pointing” that happens with manual, email-based processes.
Do I need coding skills to build or change a workflow?
No, you do not need any coding skills as FlowForma Process Automation is a 100% no-code platform. The intuitive interface allows business users and process experts to build and maintain their own workflows using simple drag-and-drop actions. This enables the experts who understand the process most deeply to design their own solutions independently, while still involving IT when needed to ensure governance and compliance.
Can a workflow move both backward for corrections and forward for approvals?
Yes, FlowForma Process Automation excels at managing complex processes that are not strictly linear. A workflow can easily be sent backward to a previous step if a manager requests more information or a correction needs to be made. This flexibility is crucial for real-world approval cycles where revisions are common.
Can a workflow be started by an external user, like a student or customer?
Yes, using the FlowForma Engage feature, a workflow can be initiated by an external stakeholder through a public link on your website. For example, a student could fill out an application form, which then automatically kicks off an internal review and approval workflow within the university. This feature is widely used by our higher education and insurance clients for student applications and customer claims submissions.
Form automation
100% no-code digital forms with validation, pre-population, mobile/offline capture, and external sharing.
What is FlowForma Form Automation?
FlowForma Forms are no-code digital forms used to collect data at each step of a process. Business users build and edit forms without code, and FlowForma Process Automation connects them to workflows and document generation. Forms support validation, conditional logic, and pre-population from other systems.
How do FlowForma Process Automation forms ensure we collect accurate data?
The forms have built-in data validation rules that check information in real-time as the user is typing. You can make fields required to prevent incomplete submissions and use conditional logic to guide users to only the most relevant questions. This ensures that the data going into your process is accurate from the very start.
Can forms be pre-populated with data from our other systems?
Yes, forms can automatically interact with your back-office systems, like a CRM or ERP, to pre-populate fields with existing data. For example, when an employee starts an expense claim, the form could automatically pull their name and department from your HR system. This saves time, reduces manual entry, and improves data consistency.
Are the forms accessible on mobile devices?
Yes, all forms are mobile-friendly and can be accessed anywhere, anytime through the FlowForma Mobile App for iOS and Android. The app also supports full offline capability, allowing users in the field without internet access to continue filling out forms and completing tasks. They can then submit their work once they regain connectivity.
What kind of advanced fields can we add to a form?
FlowForma Process Automation forms support a wide range of advanced fields beyond simple text boxes. This includes repeating tables for entering line items like expenses or cost estimates, wet signature fields for sign-offs, and location questions that capture GPS coordinates. You can even embed spreadsheet-like functionality directly into a form with calculated columns and running totals.
Can people outside our organization fill out our forms?
Yes, the FlowForma Engage feature allows you to securely share forms with external stakeholders like customers, suppliers, or students. You can embed a public link on your website for processes like customer onboarding or student applications. This allows external users to submit information without needing an internal company account.
How does AI enhance the experience of using forms?
AI is used to accelerate and simplify form interactions in several ways. AI can summarize form inputs, provide dynamic language translation, and enable voice-to-text data entry. Additionally, AI Agent Rules can read uploaded documents and automatically extract data to fill in form fields for the user, saving significant time and effort.
Document generation
Generate professional, on-brand documents at scale from live workflow data, with a no-code Word add-in.
What is FlowForma Document Generation?

FlowForma Process Automation integrates natively with Microsoft 365, SharePoint Online, and Teams, and connects to ERP, CRM, HR, and other business systems. It can connect to any cloud or on-premises application that exposes a standard REST or SOAP API, using a no-code Web API connector.
Do I need to be a developer to set up these integrations?
No, you do not. FlowForma Process Automation includes a no-code Web API system that was designed to allow business users and analysts to build integrations without writing any code. This empowers your team to connect systems and keep data flowing without creating a bottleneck for your IT developers.
How does the no-code Web API connection work?
It's a straightforward process where you first get an example of the data response (usually in JSON format) from the system you want to connect to. You then paste this example response into the no-code business rule in FlowForma Process Automation and visually map the data fields (like 'name' or 'email') to the corresponding questions in your form. Once mapped, the rule is ready to use.
Can FlowForma Process Automation connect to our internal SQL databases?
Yes, FlowForma Process Automation can be configured to have a bidirectional exchange of information with a SQL database. You can use stored procedures to pull master data from your database to populate form questions or to push data collected in a workflow back into your database for reporting and analytics. This is a common method for integrating with legacy or on-premises systems.
Can a workflow be automatically started by an event in another system?
Yes, this is possible through the FlowForma Process Automation connector on the Microsoft Connector Framework. You can set up triggers in your other business systems, so that an event—like a new customer being added to your CRM—can automatically kick off a related FlowForma Process Automation process, such as a client onboarding workflow. This creates seamless, end-to-end automation across your entire tech stack.
How does integration help improve data accuracy and save time?
Integrations eliminate the need for employees to manually re-key information between different systems, which is a major source of errors and inefficiency. By pulling data directly from a single source of truth (like your ERP), you ensure the information in your workflow is always accurate and consistent. This also pre-fills forms for users, which reduces administrative work and saves significant time.
Can we build more complex, custom integrations if needed?
Yes, for ultimate flexibility, FlowForma Process Automation provides an Extensibility Framework. This allows your developers to use JavaScript to create custom product extensions, such as new question types or highly specific business rules that interact with the FlowForma Process Automation Web API. This option is there for unique scenarios that go beyond the capabilities of the no-code connectors.
Engage
Bring customers, suppliers, contractors and the public into your processes securely, with no license or internal access needed.
What is FlowForma Engage?
FlowForma Engage is the feature of the FlowForma Process Automation platform that lets you involve external parties, including customers, suppliers, contractors, subcontractors, and the general public, directly in your internal digital business processes. External users can securely complete steps in workflows such as supplier onboarding, e-vetting, tender responses, customer feedback, and document approvals, without needing access to your internal Microsoft 365 environment.
Do external users need a Microsoft 365 account or FlowForma Process Automation license to use Engage?
No. External participants do not need access to your Microsoft 365 environment or a FlowForma Process Automation license. They reach process steps through a secure web link and can sign in with a Google, Microsoft, Facebook or Auth0 account, or take part anonymously where you allow it. This gives you secure external access without complex IT setup or provisioning credentials for people outside your organization.
What types of external processes can FlowForma Engage support?
FlowForma Engage supports a wide range of external-facing processes, including supplier onboarding that captures required data before internal processing, e-vetting for individuals and businesses before they join your workforce or do business with you, customer feedback collection, external document approvals, contractor and subcontractor onboarding with contractual agreement recording, tender response management with scoring and selection, and customer-completed steps such as insurance policy renewals.
How do external users access FlowForma Engage processes?
External users access process steps through a web link that can be shared by email or embedded in your communications. Steps can be assigned to specific named users for controlled access, or opened for anonymous participation where appropriate, for example public e-vetting applications or customer feedback forms. The interface works on any desktop, mobile, or tablet device.
Is FlowForma Engage secure for handling sensitive external data?
Yes. External participants engage with your processes as if they were part of your internal team, but without gaining access to your Microsoft 365 or internal systems. Steps can be assigned to specific authenticated users or restricted to controlled groups, and data entered by external users is validated in real time and passed automatically into internal systems without re-keying, reducing both error risk and exposure.
Does FlowForma Engage require coding to set up external-facing processes?
No. FlowForma Engage uses the same no-code design interface as the rest of the platform, so any process step can be made externally accessible without writing code. You keep full control over which steps external stakeholders can see and interact with, and the entire workflow, internal and external steps together, is designed and managed in one place.
Can data entered by external users automatically flow into internal systems?
Yes. Information entered by external participants is passed automatically into your internal systems and workflows with no manual re-keying. This removes data transfer delays, reduces errors, and lets your internal team act on external input immediately. Documents can also be generated automatically from the data external users enter.
How does FlowForma Engage improve customer experience and efficiency?
FlowForma Engage replaces slow, paper-based or email-driven external processes with fast, seamless digital interactions. Customers complete steps in their own time on any device and receive automated communications at each stage, while your team avoids chasing paperwork and re-entering data. Coinford has reported time savings of around 15 to 20% per day for staff who previously had to chase, collect, and process external information manually.
Can FlowForma Engage be used for e-vetting of the public or prospective employees?
Yes. FlowForma Engage supports e-vetting workflows where members of the public or prospective employees initiate and complete a vetting process entirely online. The process can capture the required information, validate data in real time, trigger internal review steps, and maintain a full audit trail, all without the applicant visiting an office or submitting paper documentation.
How is FlowForma Engage different from just emailing forms or a PDF to external parties?
Unlike emailing a form or PDF, FlowForma Engage brings external parties into the actual process, so their input validates in real time and flows straight into your internal systems with no re-keying. There's no Microsoft 365 account or license needed for them, steps can be secured to named users or opened to the public, and documents generate automatically from what they enter, removing the delays and errors of manual, email-driven exchanges.

Security
How FlowForma Process Automation combines Microsoft 365 security with its own controls.
Is FlowForma Process Automation secure?
Yes. FlowForma Process Automation is built to meet enterprise security requirements by combining the security of Microsoft 365 with FlowForma Process Automation's own application controls. Sign-in uses your own Microsoft Entra ID, so authentication and authorization are inherited from your existing Microsoft environment. FlowForma Process Automation adds workflow- and step-level permissions, full audit logging, and secure development practices with regular product updates, and its Information Security Management System is ISO/IEC 27001:2022 certified.
Where is FlowForma Process Automation data stored?
Workflow definitions, forms, generated documents, workflow history, and uploaded files are stored in SharePoint Online. Prompts sent to the built-in AI are processed as one-time requests through Microsoft's Azure OpenAI Service and are not retained.
Does FlowForma Process Automation encrypt data?
Yes. Data held in your Microsoft 365 and SharePoint Online environment is protected by Microsoft's encryption at rest, and data in transit is encrypted over HTTPS/TLS.
Is customer data used to train AI models?
No. FlowForma Process Automation's built-in AI uses Microsoft's Azure OpenAI Service, and your prompts and data are not used to train any AI models. Each AI request is processed as a one-time transaction, so the model does not store or learn from your information. If you bring your own AI configuration, the terms of your own AI provider apply.
Does FlowForma Process Automation support Single Sign-On (SSO)?
Yes. FlowForma Process Automation uses your existing Microsoft Entra ID (formerly Azure AD) identity, so users sign in with the same Microsoft 365 credentials they already use — there's no separate FlowForma Process Automation login to manage. Any identity provider or federation you've configured in Entra ID applies automatically, and users and groups are provisioned through Entra.
Does FlowForma Process Automation support Multi-Factor Authentication (MFA)?
Yes. FlowForma Process Automation inherits multi-factor authentication directly from your Microsoft 365 sign-in. Because access is governed by Microsoft Entra ID, any MFA and Conditional Access policies your organization enforces in Microsoft 365 apply to FlowForma Process Automation automatically, with nothing extra to configure.
How does FlowForma Process Automation manage permissions?
FlowForma Process Automation manages permissions through a combination of SharePoint Online permissions and its own Security Wizard. You can set access at the process level and at the individual step level — restricting a process to specific SharePoint Online groups, or preventing a named user from ever seeing a confidential step such as a manager's review. Administrator, form, and approver permissions are all controlled within the same framework.
How is tenant data isolated?
Authentication is handled by your own Microsoft Entra ID, and access to processes and documents follows your SharePoint Online permissions.
Does FlowForma Process Automation keep audit logs?
Yes. A detailed audit trail is an out-of-the-box feature for every process, capturing who did what and when, right down to the second. It logs workflow history, step submissions, approvals, business rule executions, e-signature captures, delegations, and AI activity. Administrator actions are recorded within FlowForma Process Automation, and sign-in and authentication events are captured by Microsoft 365.
Does FlowForma Process Automation support compliance requirements?
FlowForma Process Automation supports compliance in two ways. First, because FlowForma Process Automation works within your Microsoft 365 environment, you build on your organization's existing compliance posture and the Microsoft capabilities behind frameworks such as GDPR, HIPAA, and ISO. Second, FlowForma's own Information Security Management System is ISO/IEC 27001:2022 certified. Standardized workflows, approval hierarchies, and full audit trails then help you evidence compliance.
How are backups handled?
Process documents and data held in SharePoint Online follow your organization's existing Microsoft 365 backup and retention policies and any backup tooling you already use.
How are software updates delivered?
FlowForma delivers product updates as a managed service, so new features and fixes are rolled out without you having to manage installs. Updates are designed to maintain backwards compatibility, so your existing processes keep running.
Does FlowForma perform security testing?
FlowForma follows secure development practices and ongoing vulnerability management as part of its ISO/IEC 27001:2022-certified security program.
Governance
A central hub for IT to govern automation: sandboxes, UAT, production promotion, and granular security.
How does FlowForma Process Automation help IT manage and govern automation across the organization?
FlowForma Governance provides IT with a central hub to oversee all automation activities in a controlled manner. IT can create secure sandbox environments for business users to build and test processes without any risk to live systems. This framework empowers business experts while allowing IT to act as a final gatekeeper for production environments.
Can we have separate environments for development, testing, and production?
Yes, FlowForma Process Automation fully supports a standard software development lifecycle with separate sandbox, User Acceptance Testing (UAT), and production environments. An HR Manager, for instance, can build a new process in a sandbox, request it to be moved to UAT for sign-off, and then have IT promote the final version into the live production environment. This ensures changes are properly tested before going live.
How does IT control what gets moved into the live production environment?
IT acts as the gatekeeper over production environments. A business user can build and test a process in their sandbox, but must request that it be promoted. This allows IT to review, test, and approve the process, minimizing operational risk while still achieving the benefits of a no-code platform.
How does FlowForma Process Automation ensure compliance and provide an audit trail?
A full, detailed audit trail is an out-of-the-box feature for every process, requiring no extra configuration. The audit trail captures every action, including who did what and when, right down to the second, which is critical for regulatory compliance and external audits. This is a key reason FlowForma Process Automation is used in highly regulated industries.
How do we manage who can see or interact with sensitive processes?
The Security Wizard allows you to set granular permissions at both the process level and the individual step level. You can restrict access to a process to specific SharePoint Online groups or even deny a specific individual from ever seeing a confidential step, like a manager's review. This ensures that sensitive data, such as HR or financial information, is only seen by the right people.
Can IT see all the processes that are currently running across the business?
Yes, the Governance Hub provides IT with a complete overview of all processes, app environments, and sandboxes across the entire organization. This central visibility allows IT to understand how the tool is being used and provide advice where needed. Dashboards in FlowForma Insights also provide a high-level view of process performance and volumes.
How do you handle changes or updates to a live process without disrupting business?
You can make changes to a copy of the process in a safe sandbox environment. Once you have tested the new version in UAT and are ready to deploy it, you can promote it to the live environment with the click of a button. This process replaces the old version seamlessly, ensuring there is no disruption to daily business operations.
Compliance
Standardize regulated processes with full audit trails, approval hierarchies, and ISO/IEC 27001:2022 certification.

Its integration with SharePoint Online enables controlled access, versioning, and retention of records, while real-time reporting and dashboards support ongoing compliance monitoring. Leveraging Microsoft's security infrastructure, FlowForma Process Automation also helps protect sensitive data in line with regulations like GDPR, HIPAA, and ISO standards, making it a valuable tool for industries such as healthcare, construction, finance, and the public sector.
How does FlowForma Process Automation support audit documentation and evidence capture?
FlowForma Process Automation's Compliance module logs every significant action within a workflow—such as form starts, step submissions, business rule executions, e-signature captures, delegations, and pass-backs—recording who did what and when. This provides a transparent, granular view of the entire process. You can enable auditing at different levels—globally, on specific flows, or even on individual business rules—so that only relevant events are logged.

FlowForma Process Automation is built for complex, multi-step processes like building a task order response. You can design a workflow that automatically sends the proposal through different internal teams for technical, pricing, and procurement approvals. The process can easily move backwards for revisions or forwards for the next sign-off, ensuring everyone contributes before the final document is created.
We need to collaborate with subcontractors on proposals. Can we do this without giving them full access to our internal systems?
Yes, the FlowForma Engage feature lets you securely share just a single step of a process with external partners like subcontractors. They receive a public link to upload their information or documents without needing an account or access to your main SharePoint Online site. This is ideal for getting inputs while maintaining security.
Can FlowForma Process Automation automatically generate our final proposal document once all the information is gathered?
Absolutely. FlowForma Process Automation's document generation tool uses Microsoft Word templates to automatically create your final plan. It takes all the information entered into the forms during the workflow, including cost tables and technical approaches, and populates the document for you. The final output can then be saved as a PDF for submission to the customer.
We use spreadsheets for cost estimates. Can we import this data directly into a workflow?
Yes, FlowForma Process Automation can easily import data from CSV files to populate tables within a form, which is perfect for uploading cost tables without manual data entry. FlowForma Process Automation can perform calculations on this data, such as creating running totals for different columns. These populated tables can then be included directly in your final generated documents.
How do we control document access, like locking files from further changes after they are approved?
FlowForma Process Automation allows you to manage permissions for document libraries and individual files directly from the workflow. You can set a rule to make files read-only or revoke a user's permissions once a step is approved. This ensures that once subcontractor data is approved, it is visible but can no longer be changed.
Our projects often have modifications. Can we update an existing task plan without starting from scratch?
Yes, you can easily manage modifications within FlowForma Process Automation. The system can be set up to pull data from the previous version of a form when a modification is initiated, so you only need to update the relevant sections. This saves you from having to retype all the original information for each new revision.
We already have a folder structure in SharePoint Online. Do we have to rebuild it in FlowForma Process Automation?
No, you do not need to rebuild anything, as FlowForma Process Automation is designed to integrate seamlessly with your existing SharePoint Online architecture. You can simply point the workflow to your current document libraries and folders to save or retrieve files. FlowForma Process Automation sits on top of your SharePoint Online structure; it doesn't replace it.
FlowForma Process Automation vs other tools
How FlowForma Process Automation compares with Power Automate, Nintex, Kissflow, ProcessMaker, Power Apps, InfoPath, and custom development.
How does FlowForma Process Automation compare with Power Automate?
FlowForma Process Automation and Power Automate are both used within the Microsoft ecosystem but suit different jobs. Power Automate is Microsoft's tool for connecting apps and automating task-to-task flows and simple approvals. FlowForma Process Automation is a no-code platform for complex, multi-step human processes that combine forms, approvals, routing, and document generation, and it is built on SharePoint Online. Many organizations use both, and FlowForma Process Automation can trigger or be triggered by Power Automate through the Microsoft Connector Framework.
FlowForma Process Automation vs Nintex: what is the difference?
FlowForma Process Automation and Nintex are both no-code process automation platforms used with Microsoft 365 and SharePoint Online. FlowForma Process Automation is built on SharePoint Online and combines forms, workflow, document generation, and AI in one product aimed at business users. Organizations moving off Nintex commonly evaluate FlowForma Process Automation as an alternative.
FlowForma Process Automation vs Kissflow: what is the difference?
FlowForma Process Automation and Kissflow are both no-code process and workflow platforms. The main difference is architecture: Kissflow is a standalone cloud SaaS product, while FlowForma Process Automation is built natively for Microsoft 365 and SharePoint Online. Organizations already invested in Microsoft 365 often prefer FlowForma Process Automation so their processes build on the permissions and environment they already have.
FlowForma Process Automation vs ProcessMaker: what is the difference?
FlowForma Process Automation and ProcessMaker are both business process automation platforms. ProcessMaker is a standalone BPM platform often used for developer-supported, workflow-heavy automation. FlowForma Process Automation is a no-code platform built for Microsoft 365 that business users manage themselves, built on SharePoint Online. The choice usually comes down to whether an organization wants a Microsoft 365-native, no-code tool or a separate BPM system.
FlowForma Process Automation vs Power Apps: what is the difference?
FlowForma Process Automation and Power Apps solve different problems. Power Apps is Microsoft's low-code platform for building custom applications. FlowForma Process Automation is a no-code platform focused on forms, workflow, and document generation that business users build and maintain themselves. Organizations choose FlowForma Process Automation when they want process automation without building and maintaining a custom app.
FlowForma Process Automation vs InfoPath: what is the difference?
FlowForma Process Automation is widely used to replace Microsoft InfoPath, which Microsoft has retired. Where InfoPath created SharePoint forms, FlowForma Process Automation provides no-code forms plus workflow, approvals, document generation, and AI in one platform, and it runs on modern SharePoint Online. It is a common migration path for organizations still relying on InfoPath forms.
Why choose FlowForma Process Automation instead of custom development?
Custom development can build almost any process, but it requires developers to build and maintain, and changes depend on IT capacity. FlowForma Process Automation lets business users build and change processes themselves with no code on top of Microsoft 365, while IT retains governance through sandboxes, testing, and production control. Organizations choose FlowForma Process Automation to automate faster and reduce ongoing maintenance compared with custom-built solutions.

About FlowForma Contract
What FlowForma Contract is, what it covers, and who uses it.
What is FlowForma Contract?
FlowForma Contract is your all-in-one automation and AI optimization product for all things procurement, contracts and tender management related. One place from which you can manage all the associated workflows, people, agents and data involved in these business critical processes.
What does FlowForma Contract cover?
FlowForma Contract has three modules that share one product: contracts management, procurement management and tender/bid management. Together they run every purchase, tender and contract on your rules, from the first request to contract performance.
Which teams use FlowForma Contract?
FlowForma Contract is used by all teams involved in an organization’s commercial processes, from the contracts team, to procurement, finance, legal and the tender/bid management team.
Which organizations use FlowForma Contract?
Utah Department of Health and Human Services cut contract approvals to 1 to 5 days. Vestergaard uses it to manage the operational side of its contracts, and Ergo runs every contract from one master service agreement through to billing and the service desk. Read the case studies.
Contracts, procurement and tenders
How each module works, from intake to renewal.
How does FlowForma Contract manage contract renewals?
Key terms, obligations and milestones are held in one contract register. Renewals are flagged early, with options to renew, renegotiate or exit, so nothing lapses unnoticed. Routine contracts are reviewed against your legal playbook, so only risky clauses reach legal.
How are purchase requests approved?
The Intake Agent fills in gaps so every request arrives complete. Each purchase is sorted by type, value and risk and routed accordingly, policy and budget are cross-checked before anything is approved, and quotes and multi-level approvals are handled in one flow.
How does FlowForma Contract support tender evaluation?
Supplier responses are collected in one place, and every evaluator scores each response against the same criteria. Live dashboards show scores, progress and where evaluation is stuck. Award decisions are approved and recorded with a full audit trail, and successful and unsuccessful suppliers are notified quickly and consistently.
AI agents, setup and integration
How agents decide, how fast you can build, and what it connects to.
How do the FlowForma Contract AI agents make decisions?
Setting up agents within FlowForma Contract is a straightforward task. You provide rules/directions from which the agent can make decisions. You can also state what you want the agent to do, whether it’s validating data, making recommendations to humans, or acting on behalf of process participants.
Is every agent action recorded?
Yes. People and agents work inside your rules, and every approval and agent action is on record, so contract, purchase and award decisions are ready for audit.
How fast can I build a procurement or contracts process?
FlowForma Contract makes it quick to get started with AI chat entry points: describe your process in a chat or supply a diagram, and the AI works in the background to prototype, test and improve it. Your team then reviews and refines the process before it goes live.
Does FlowForma Contract integrate with other systems?
Yes. FlowForma Contract can integrate with any system that offers an API connector. It is most commonly connected to ERP and finance systems.

FlowForma Assure FAQs
AI-native vendor security assessments that run faster, with AI agents reviewing every piece of evidence and your team in control.
FlowForma Assure
About FlowForma Assure
What FlowForma Assure is, what it checks, and what you need to run it.
What is FlowForma Assure?
FlowForma Assure runs AI-checked compliance and vendor risk assessments against a library of 251 controls. AI agents review every piece of vendor evidence and cite what they used, while your security team stays in control of every decision. It is a SaaS product hosted by FlowForma in Microsoft Azure.
How is FlowForma Assure different from questionnaire-based vendor risk tools?
Unlike traditional platforms that rely heavily on static questionnaires, FlowForma Assure starts by analyzing real security evidence and documentation first. This reduces unnecessary questions, lowers vendor effort, accelerates assessments, and focuses attention on actual gaps rather than generic responses.
Which evidence and frameworks can FlowForma Assure assess?
FlowForma Assure assesses evidence against a library of 251 controls. It reads SOC 2 Type II reports, ISO 27001 evidence, NIST mappings, AI RMF material, penetration tests, SIG questionnaires and vulnerability scans. You can also upload your own questionnaires, and the AI turns them into proposed controls.
Can FlowForma Assure assess AI-related vendor risk?
Yes. FlowForma Assure is built to assess not only traditional security controls, but also emerging risks such as AI usage, AI governance, model oversight, and AI data handling.
Do I need Microsoft 365 to use FlowForma Assure?
No. FlowForma Assure has no Microsoft 365 dependency. It runs as a SaaS product hosted by FlowForma, and users can sign in with Microsoft Entra ID or Google Workspace accounts.
AI-assisted assessments
How the AI checks evidence and where your team stays in control.
How does the AI check vendor evidence?
The AI checks uploaded evidence against each control in the assessment and cites the excerpts it used. Every finding includes a clear rationale, so reviewers can quickly validate why the AI reached a conclusion. FlowForma Assure does not produce “black box” decisions.
What else does the AI do in an assessment?
Beyond checking evidence, the AI scores vendor questionnaire answers, suggests which controls an assessment should cover, and turns uploaded questionnaires into proposed controls, so new assessments are faster to set up.
Does the AI make the final risk decision?
No. FlowForma Assure is designed to assist security teams, not replace them. The platform automates evidence analysis, highlights potential gaps, and supports reviewer decisions while keeping the security assessor in control of final outcomes. This makes adoption easier in enterprise environments where accountability and governance are critical.
How do assessors and vendors collaborate?
FlowForma Assure combines AI assessment with structured collaboration between assessors and vendors/project teams. Clarifications are linked directly to controls, time-bound, and centrally managed and auditable, replacing fragmented email-driven assessment processes.
Hosting, security and access

Where is FlowForma Assure hosted, and where is our data stored?

Is FlowForma Assure multi-tenant?

FlowForma Agent Trust FAQs
AI-native oversight of how your work is really flowing across processes, people and AI agents. Make every agent as visible as any member of your team and govern with ease.
FlowForma Agent Trust
About FlowForma Agent Trust
What Agent Trust is, why it matters, and who it is for.
What is FlowForma Agent Trust?
FlowForma Agent Trust is a central hub for managing processes, people and AI agents in one place. It shows how work is really flowing across all three, makes every agent as visible as any member of your team, and lets you govern agents with ease.
What are the risks of unmanaged AI agents?
As more processes are powered by people and agents working together, it gets harder to understand who is doing what, and how well. Without one central view of that collaboration, and an independent check on the quality of each agent’s work, it is difficult to trust your agents. Mistakes happen, costs creep up, processes never reach their full potential, and you can lose control of how critical work is completed.
Who is FlowForma Agent Trust for?
Agent Trust is built for the leaders who run your operations and your AI. Operations leaders get one view of processes, people and agents, fewer missed SLAs, and the confidence to act. AI and IT leaders get every agent in one view, agent costs under control, and the confidence to scale AI. Risk and compliance leaders get seamless human review and every decision on record, which makes auditing easier.
Can FlowForma Agent Trust manage AI agents built on other platforms?
Agent Trust is designed to give you one place to oversee AI agents alongside your processes and people: send their work for human review, slow them down, pause them or improve them. Talk to our team about the platforms your agents run on.
Governing AI agents
Visibility, trust, cost and control for every agent.
How do I know if an AI agent can be trusted?
Agent Trust judges agents on real results and the corrections people make, not on the agent’s own confidence. A trust view plots each agent’s autonomy against how often people correct it, so agents that are confident but wrong stand out.
How can I monitor what my AI agents are doing?
For every agent, Agent Trust shows work handled, work completed with no person involved, work handed to people, and work needing attention. It separates hand-offs required by your rules from work an agent couldn’t complete, and shows every agent in the fleet by process and step.
How can I track the cost of AI agents?
Agent Trust shows run cost by model for your agents, alongside the work each agent handles, so AI and IT leaders can keep agent costs under control.
What can I do when an AI agent makes mistakes?
Straight from Agent Trust’s recommendations, you can route an agent’s output to people for review or pause the agent so work waits until the issue is fixed. Because each agent is controlled on its own, you can act on one agent without stopping the rest.
Why do AI agents need ongoing monitoring?
Traditional software is deterministic: once it is in place, it does the same thing every time. AI agents are not. Models change, and that changes how agents make decisions, so agents need continuous monitoring rather than a one-off sign-off.
Processes and people
Seeing work in flight, team capacity, and what to do next.
How does Agent Trust help prevent missed SLAs and bottlenecks?
Agent Trust shows work in flight, at risk and overdue for every department and process, and where work is sitting step by step so bottlenecks stand out. It forecasts inflow against capacity so you see shortfalls before they hit, and priority checks spot when urgent work is clearing slower than routine work.
How does Agent Trust help manage team capacity?
One view shows work assigned, work overdue, availability today and team capacity. You can see where the load sits across the team, measured on the work rather than the worker, which skill pools can take work when it needs to move, and upcoming absences set against your busiest periods.
Does Agent Trust recommend what to do next?
Yes. Recommendations show what happens if nothing changes and are ready to act on: covering absences, rebalancing work before it goes overdue, and routing an agent’s output to people or pausing it.
Getting started
How should we test an AI agent before it goes live?
Start in shadow mode. The agent works alongside people while you review 100% of its output and tune it. As it proves reliable, you let it take on specific types of task, building confidence over time.
